Information we collect

Depending on how you interact with us, we may collect:

  • Contact and professional information, such as your name, email address, organization, job title, and location.

  • Information you provide through inquiries, registrations, surveys, interviews, feedback, or community participation.

  • Information needed to manage client relationships and deliver our services.

  • Your communication preferences and permissions.

  • Technical information generated when you use our websites and online services, as described in any applicable cookie notice or platform privacy information.

We collect information directly from you and, where relevant, from your organization or the service used to arrange an activity. Please avoid providing personal information about others or confidential information unless it is necessary and you are authorized to share it.

How we use information

We use information to:

  • Respond to inquiries and manage business relationships.

  • Deliver and improve our services, events, and community activities.

  • Conduct research, understand People Experience trends, and develop reports and guidance.

  • Send information you request and manage your communication preferences.

  • Maintain the security of our systems and meet applicable legal obligations.

Where data protection law requires a legal basis, we identify the basis appropriate to the activity. This may include consent, performing a contract with you, legal obligations, or legitimate interests in managing our business relationships and conducting research.

Surveys and research

Each survey or research activity explains its purpose and any specific participation conditions.

For our annual State of PX survey, we do not ask for your name, email address, or organization name. However, information included in written answers or combinations of profile details could identify you or your organization. Please avoid including identifying or confidential information.

We report findings in aggregate and review results to reduce the risk of identifying individual respondents. We will not quote written survey comments publicly without separate permission.

Optional registration for reports, research conversations, or community follow-up is collected separately. Completing a research survey does not automatically subscribe you to marketing communications.

Who may access information

Access is limited to people who need the information for the purposes described in this statement.

We use service providers to support activities such as online forms, document storage, communications, events, and community administration. These include Microsoft 365, Microsoft Forms, Miro, Smaply, and Circle.so.

We may also disclose information when required by law or when necessary to establish, exercise, or defend legal claims.

When we handle personal information on behalf of a client, the client’s instructions, our agreement, and the relevant client privacy notice govern that processing.

Where information is processed

Our service providers may process information in countries other than the country where you live.

How long we keep information

We retain personal information only for as long as needed for its stated purpose, including applicable legal, contractual, and recordkeeping requirements.

We may retain research findings that no longer identify individuals to support comparisons over time.

Security

We use access controls and other appropriate organizational and technical measures to protect personal information against unauthorized access, loss, misuse, or disclosure.

Your choices and rights

You may choose whether to participate in voluntary research and may stop before submitting your response. You can unsubscribe from marketing communications using the instructions in the message or by contacting us.

Depending on applicable law, you may have rights to access, correct, delete, restrict, object to the use of, or receive a copy of your personal information. Where we rely on consent, you may withdraw it without affecting the lawfulness of earlier processing.

Contact elliott@impactpx.com to ask a privacy question or make a request. If we cannot identify a survey response as yours, we may be unable to retrieve or delete it.

You may also have the right to complain to the relevant data protection authority.

Changes to this statement

We may update this statement as our activities or requirements change. The effective date above identifies the current version.
